How Do Virtual and Hybrid Events Work?

It has been more than a year since the demand for virtual and hybrid events has significantly increased. Dorier has been very familiar with managing and conducting multi-site events for many years, where logistics and technology are more complex and sophisticated compared to today's hybrid/virtual events.

What are commonly known to clients as virtual and hybrid events are simply slightly higher solutions than a daily video call or corporate conference solution. However, with extra requirements including the need for streaming (or live broadcasting) to other parts of the globe, it often becomes almost impossible to execute internally and requires a professional service and knowledge to accomplish all these. Afterall, you would not want to have an epic fail on your important virtual or hybrid event.

Ever wondered how complex or what goes on behind the scenes of a virtual or hybrid event? The simple schematic below will give you an overview of the logistical and manpower needs.

There are pros and cons for having live content VS pre-recorded content. It is all about the level of control you are looking for. For e.g., pre-recorded contents give you full control of the event, but at the same time, it limits the level of audience engagement.

These contents (live or pre-recorded) will then be managed by the production team in their respective areas - live screen, web platform, streaming platform, or others. Concurrently, another dedicated team manages the live speakers, audience interaction, virtual breakout rooms, one-to-one meetings/networking, virtual booths, etc.

Upon completion of the event, post-production work includes editing of the sessions for documentation purposes, or for uploads to the client’s portal as on-demand content. An analytics report with details on viewers’ behaviour, participation hours, engagement levels, and any other statistics is usually provided for future event improvements.
